About the Role
We're looking for a detail-oriented Production Assistant to manage purchase order administration and provide day-to-day production support for our apparel manufacturing team. This role is the operational backbone of our production process — keeping POs accurate and on track, following up with factories and internal teams, and flagging issues before they become delays. It's a great fit for someone with 2-4 years of experience in apparel production, sourcing, or supply chain who is organized, responsive, and comfortable managing many moving pieces at once. No overseas travel is required for this role.
Key Responsibilities
• Create, issue, and maintain purchase orders (POs) for factory production, ensuring accuracy of styles, quantities, pricing, and delivery dates
• Track PO status from placement through shipment, proactively following up with factories/vendors on order confirmations, production timelines, and delays
• Serve as a key point of contact between factories and internal teams (design, merchandising, sourcing, logistics) for day-to-day production questions
• Monitor open PO reports and flag discrepancies, late shipments, or at-risk orders to the Production Manager
• Maintain organized, up-to-date records of POs, tech packs, approvals, and communications for each style/order
• Coordinate sample requests, approvals, and tracking between factories and internal teams
• Support the Production Manager with data entry, reporting, and administrative tasks related to the production calendar
• Communicate regularly with factories via email/messaging to confirm order details and resolve routine issues
• Assist with reconciling invoices, packing lists, and shipping documents against PO details
• Help maintain and update internal tracking systems/spreadsheets (ERP, PLM, or Excel-based trackers)
Required Qualifications
• 2-4 years of experience in apparel production, purchase order management, sourcing, or supply chain coordination
• Strong organizational skills with the ability to track and manage multiple purchase orders/styles simultaneously
• Excellent written communication skills for regular correspondence with factories and internal teams
• Proficiency in Excel/Google Sheets; comfortable learning ERP or PLM systems
• Strong attention to detail and follow-through on outstanding action items
• Ability to work cross-functionally and prioritize in a fast-paced, deadline-driven environment
Preferred Qualifications
• Experience with an ERP or PLM system (e.g., NuORDER, Centric, AIMS360, or similar)
• Familiarity with apparel production terminology (tech packs, BOMs, TOPs, PPS)
• Associate's or Bachelor's degree in Fashion Merchandising, Supply Chain, Business, or related field (or equivalent experience)
